To assume overall responsibility for the entire office infrastructure and administration, ensuring the Directors can deliver a robust, high quality platform for the recruitment teams to operate, and grow, from.

The role

The current role can be broken down into the areas below. However, it is important to understand that the successful candidate will be required to question all of our current processes with view to enhancing our efficiency wherever possible.


  • Permanent fee invoicing
  • Credit control (via Office Manager)
  • Contractor administration / timesheet control via the ETZ platform
  • Revenue capture and reporting
  • Sales tracker/ledger management
  • Quarterly consultant commission calculations


  • Responsible for all local tasks
  • Responsible for the co-ordination of Acre's technology outsourced supplier (Doherty)
  • Responsible for coordination of voice technology supplier (CloudCall)


  • Management of analytics platform (Cube 19) translating KPI information from our database system Bullhorn.


  • Responsible for Office Manager
  • Weekly reporting of KPI's
  • Vendor management with clients - eg Requests for Information, PO's etc
  • End of month reports/ analysis re revenue, KPI's and DSO
  • Ad hoc analysis of revenue and KPI's
  • Feefo management (online client candidate feedback platform)
  • Stationery supplies (via the Office Manager) / Copier - lease negotiation
  • Security - alarm company and key holding company - contract negotiation and maintenance
  • Monitoring and dealing with the emails going to the general Acre contact email
  • Review and training of Terms and Conditions
  • Internal event co-ordination

Undertaking the same duties above for our USA office and ensuring smooth running of the office

The current role of the Operations Manager is working well, but can be redefined as necessary moving forward.

HR management is a function which is currently outsourced, apart from the in-house production of contracts etc. We currently use a HR Leave Management system - Cascade Go.

Candidate specification

The successful candidate will have a minimum of c4 years office management / business support experience, preferably within a business / professional services organisation. Experience of the recruitment sector is desirable, but not essential.

An efficient organised office, tight financial control, problem free technology, intelligent database management etc will all be indicators of success in the role. Evidence of some (or all of these!) in prior experience is essential.

A vital criteria is attitude. An efficient, 'no non sense / can do' approach is crucial, whilst at the same time having a great sense of humour which fits in with a young, busy, values driven environment will be essential.
